How to choose the best real estate CRM in India (2026 buyer’s guide)

Most real estate teams in India start with Excel, a few WhatsApp groups and a diary. That works until you are paying portals and Meta for hundreds of enquiries a month — and suddenly nobody can say how many were called, how many visited the site, or why bookings are flat.
A CRM fixes that, but only if it fits the way property is actually sold here. Generic sales CRMs were built for software companies selling subscriptions. Indian real estate has portals, channel partners, site visits, payment plans and a lot of WhatsApp. Here is what to check before you choose.
1. Does it capture leads from your real sources — automatically?
Your leads come from 99acres, MagicBricks, Housing.com, NoBroker, JustDial, Facebook and Instagram lead forms, Google Ads, your website, walk-ins and referrals. If someone has to download a CSV from each portal every morning, leads will be called hours late.
Ask: Which portals and ad platforms push leads in real time? Can I add my website form in minutes? Does it keep UTM data so I know which campaign the lead came from?
2. How does it handle duplicates?
The same buyer often enquires on three portals and your Facebook ad in the same week. Without de-duplication, three agents call them — and the buyer gets annoyed.
Ask: Does it match leads by phone number? What happens to the second enquiry — is it linked to the original owner?
3. Can it assign leads instantly and fairly?
Speed to lead matters more than almost anything else in real estate. The CRM should assign a new lead the moment it arrives — by project, source, budget, location or round-robin — and notify the agent on their phone.
Ask: Can I set routing rules? Can I cap the number of active leads per agent? Will I be alerted when a lead sits untouched too long?
4. Is site visit management built in?
For builders, the site visit is where deals are won. You need scheduling, reminders to the buyer, check-in at the sales office and structured feedback after the visit.
Ask: Can buyers check in on a tablet at the site? Do visits show up on the agent’s calendar? Can I see visit-to-booking conversion by project?
5. Does it support channel partners properly?
If partners bring a large share of your bookings, they need their own login to register leads and visits — with time-stamped ownership so there are no disputes — and visibility into the commissions they have earned.
Ask: Is there a partner portal or app? Can partners see only their own firm’s data? Are commissions calculated automatically?
6. What happens after the booking?
A lot of CRMs stop at “won”. In real estate, that is when collections start. Look for inventory, bookings, payment plans, milestone reminders, invoices and receipts, and online payments.
7. WhatsApp, calling and automation
Your buyers live on WhatsApp and your agents live on the phone. The CRM should send WhatsApp templates, log calls (with recordings if you use cloud telephony like Exotel or Knowlarity), and run follow-up sequences without someone remembering to.
8. A mobile app agents will actually use
Agents are at the site, in the car and on calls — not at a desk. A good app lets them see new leads, call in one tap, log the outcome and schedule the next step in seconds, even on a weak network.
9. Data security and ownership
Your buyer list is one of your most valuable assets. Check where data is hosted (in India is best for compliance and speed), whether access is role-based, whether exports are controlled and logged, and that you can take your data with you.
10. Setup, migration and support
The best CRM is the one your team uses from day one. Ask who will set up your projects, statuses and integrations, import your existing leads, and train your team — and how fast support responds.
