Site visit tracking: how builders convert more visits into bookings

Team Realease · 3 October 2026 · 6 min read

For builders and project marketers, the site visit is the moment of truth. Buyers who walk the sample flat and see the location are far more likely to book than those who never leave the portal. Yet many teams treat visits casually: scheduled on WhatsApp, not confirmed, not recorded, not followed up.

Here is how to run site visits as a system.

Before the visit: schedule, confirm, remind

  1. Schedule from the lead record, with project, date and time, so it shows up on the agent’s calendar and the site team’s list.
  2. Send a confirmation with the location pin and the name of the person meeting them.
  3. Remind the buyer before the visit — no-shows drop sharply when buyers get a timely reminder.
  4. Remind the agent too, especially if a different person is hosting at the site.

At the site: check in every visitor

Use a walk-in kiosk — a tablet at the sales office — where every visitor registers. This does three things:

  • Creates or matches the lead, so walk-ins are never lost.
  • Records exactly when the buyer arrived, which settles channel partner ownership questions.
  • Notifies the assigned agent instantly.

After the visit: capture feedback while it is fresh

Right after the visit, record:

  • Interest level (hot, warm, cold)
  • Preferred configuration and unit
  • Budget confirmation and financing needs
  • Objections (price, location, possession date)
  • The agreed next step and date

Then schedule the follow-up before the buyer leaves the site. A visit without a next step is a wasted visit.

Follow up with purpose

Use what you learned. If the objection was price, follow up with payment plan options. If it was possession timing, share construction progress. Send a thank-you on WhatsApp the same day.

The metrics that matter

Track these weekly, by project, source and agent:

  • Visits scheduled vs. completed — your no-show rate.
  • Visit-to-booking conversion — the core measure of sales effectiveness.
  • Days from visit to booking — how long your closing cycle is.
  • Revisits — buyers who come back are your hottest prospects.

Patterns appear quickly: one source might bring many visits but few bookings; one agent might convert far better than others and be worth learning from.

Make partners part of the system

If channel partners bring buyers, let them register visits in a partner portal before the buyer arrives. Your site team confirms the visit, and ownership is clear from the start.
